How to run a youth basketball season without drowning in admin

    The coaching part of coaching is maybe a third of the job. The rest is rosters, schedule changes, parents asking where the video is, and stats nobody has time to enter. A season runs smoothly when those are handled by a rhythm instead of by whoever answers their phone fastest.

    Set the season up once, in the preseason week

    Everything you do not set up before the first game becomes a weekly interruption. Load the roster, the full schedule including tournaments, and every family's contact in one place before the season opens.

    Do the same for the gyms. Note the camera position and the upload speed at each venue you will play in, so game day never starts with someone testing the Wi-Fi.

    • One communication channel — not three group chats.
    • Streaming position and connection noted per gym.

    Give game day a checklist, not a hero

    Assign three roles: someone starts the stream, someone keeps stats, someone handles the scorebook. Tied to roles, these happen every game. Tied to a person, they stop the first weekend that person is away.

    The whole pre-game routine should take five minutes. If it takes longer, cut something — a season only survives what is sustainable in week eleven.

    Answer parents before they ask

    Most parent messages are one of three questions: where is the game, where is the video, and how did my kid do. All three are answerable in advance. When the schedule, the recording and the box score land in the same place automatically, inbound messages drop off sharply.

    Keep a weekly review that takes twenty minutes

    Once a week, correct the stats from the recordings, glance at trends rather than single games, and send one short note to families. That single habit produces a season record good enough for evaluations, without any end-of-season scramble.

    End the season with something worth keeping

    At the end of a well-run season, every athlete already has a season reel, a full box score and their game footage behind one link. Nothing needs to be assembled in April, because it was assembled as it happened.
